Privacy Policy

DMW Corporation, Ltd. and its subsidiaries (including overseas subsidiaries, hereinafter collectively referred to as the "DMW Group") believe that conducting business activities that respect the value of personal information is a Social Responsibility responsibility, and are committed to thorough legal compliance and the establishment of an information management system. The DMW Group complies with the "Act on the Protection of Personal Information" (Personal Information Protection Act) and related laws, regulations, guidelines, etc., and has established the following Privacy Policy and will implement it reliably.

1. Acquisition of personal information

  • (1) The DMW Group will acquire personal information through lawful means, not through false pretenses or other illegal means.
  • (2) When the DMW Group acquires personal information, it will publicly announce or notify the individual of the purpose of use of the personal information, except when it is used for the purposes described in this Policy 2.(1) or when required by law.
  • (3) Notwithstanding (2), when the DMW Group obtains personal information about an individual directly from the individual that is described in a contract or other document (including electromagnetic records), the Group will obtain the personal information only after clearly indicating the purpose of use to the individual, except as required by law.

2. Purpose of Use of Personal Information

  • (1) The DMW Group uses acquired personal information for business purposes. For details on the purpose of use, please refer to Appendix 1 of this policy, "Purpose of Use of Personal Information."
  • (2) Unless required by law, the DMW Group will not use personal information for purposes other than those set out in (1) above without the prior consent of the individual.
  • (3) Even when the DMW Group can obtain the prior consent of the individual, it will not use personal information if there is a risk of encouraging or inducing illegal or improper acts.

3. Joint Use of Personal Data

The DMW Group may share acquired personal data (personal information contained in a systematically organized database that allows the acquired personal information to be searched). For details, please refer to Appendix 2 of this policy, "Regarding the Shared Use of Personal Data."

4. Safety Control Measures

The DMW Group has taken the following measures to prevent the leakage, loss, or damage of personal data and to properly manage other personal data.
(Establishment of basic guidelines)
In order to ensure the proper handling of personal data, we have established this policy as our basic policy regarding "compliance with relevant laws, regulations, guidelines, etc." and "contact point for questions and complaints."
(Establishment of rules concerning the handling of personal data)
Regarding the handling of personal data, our internal regulations stipulate the handling method, responsible persons and staff and their duties for each stage of the process, such as acquisition, use, storage, provision, deletion and disposal.
Furthermore, in order to respond to changes in the handling of personal data, we regularly review our internal regulations and revise them as necessary.
(Organizational safety control measures)
We have appointed a person responsible for the handling of personal data, clarified the employees who handle personal data and the scope of personal data they handle, and have established a system for reporting to the person responsible in the event that facts or signs of violations of laws or internal regulations are discovered.
In addition, we regularly conduct self-inspections regarding the handling of personal data in order to detect any facts or signs of violations of laws or internal regulations.
(Personnel safety management measures)
Matters concerning confidentiality of personal information are stipulated in our internal regulations.
We also provide employees with the necessary training on important points regarding the handling of personal data.
(Physical safety control measures)
We take measures to prevent theft or loss of devices, electronic media, documents, etc. that handle personal data, and we also take measures to prevent personal data from being easily identified when carrying such devices, electronic media, etc., including when moving around within the company.
(Technical safety control measures)
We implement access control to limit the scope of personnel and the personal information database that they handle.
We also implement mechanisms to protect information systems that handle personal data from unauthorized external access or malicious software.
(Understanding the external Environment)
We are aware of the personal information protection systems in the People's Republic of China, the Republic of Singapore, and the United Arab Emirates, where we handle personal data, and have implemented safety control measures.

5. Provision of personal data to third parties

  • (1) The DMW Group may provide personal data to third parties with the consent of the individual within the scope of the purposes of use stipulated in Appendix 1 of this Policy, "Purposes of Use of Personal Information."
  • (2) In addition to the provisions set forth in (2) above, the DMW Group will not provide personal data to third parties without the consent of the individual, except as permitted by law.

6. Provision of personal data to third parties in foreign countries

Except in cases where the DMW Group jointly uses personal data with its overseas subsidiaries pursuant to 3. above, the DMW Group will provide personal data to third parties in foreign countries only with the prior consent of the individual, in accordance with the provisions of the Personal Information Protection Act, after providing the individual with the name of the foreign country in which the third party is located, the personal information protection system of that foreign country, and information regarding the personal information protection measures taken by the third party.

7. Consignment

When the DMW Group outsources product delivery or service operations to a third party, the Group may provide the third party with personal data about the individual to the extent necessary for the performance of the outsourced operations. In such cases, the DMW Group will provide necessary and appropriate supervision of the outsourcee in accordance with the Personal Information Protection Act.

8. Ensuring accuracy of personal data

The DMW Group will keep personal data accurate and up-to-date to the extent necessary to achieve the purpose of use, and will promptly delete such personal data when it is no longer necessary to use it.

9. Requests for disclosure of retained personal data, etc.

  • (1) When the DMW Group receives a request from an individual or their agent to disclose retained personal data (personal data acquired by the DMW Group over which the DMW Group has the authority to disclose, correct, delete, etc. at the individual's request), the Group will respond without delay after verifying that the requester is the individual or their agent, except in the following cases. If disclosure is not possible or the retained personal data in question does not exist, the Group will respond to that effect.
    ・When there is a risk of harming the life, body, property, or other rights and interests of the individual or a third party. ・When there is a risk of causing significant disruption to the proper execution of the business of the DMW Group.・When there is a violation of laws and regulations.
  • (2) If the DMW Group receives a request from an individual or their agent to correct, add to or delete the personal data held by the individual, or to suspend or erase the use of the data, or to suspend provision to a third party, the Group will respond in accordance with laws and regulations after verifying that the requester is the individual or their agent.
